A conference is really six shows running at once. Main stage, three breakouts, a sponsor floor, and a remote audience judging all of it through a screen. AVP.Live produces the whole program: staging AV, multi-camera capture, speaker management, and hybrid streaming, planned and run by one accountable crew.

The main stage looks great while breakout B has a dead HDMI and forty people staring at a blue screen. A keynote speaker arrives with a presentation nobody tested. The remote audience hears the room mic instead of the lav. The sponsor who paid for visibility gets a logo on a lanyard and nothing else. Each seam belongs to a different vendor, and on show day they are all your problem. One crew closes the seams: the same team that builds the main stage runs the breakouts, checks every speaker's deck before they walk up, mixes the room and the stream separately, and puts your sponsors on every screen their money deserves.

What we produce

Every production includes a technical director, operated cameras, program audio, monitored streams, full recordings, and an engineer who owns the signal across every room.

Main stage

Staging AV, screens, lighting support, multi-camera capture cut live by a TD, and playback that hits on cue.

Breakout sessions

Standardized capture and streaming kits per room, so session three in room four looks like the keynote, not an afterthought.

Hybrid delivery

In-room and remote audiences served by the same production, not a webcam bolted onto an AV rig. Remote attendees get switched cameras, clean audio, and readable slides.

Speaker management

Deck intake and testing, confidence monitors, countdown timers, and a backstage tech so no presenter walks up to a surprise.

Sponsor visibility

Sponsor loops between sessions, logo placement on stream and screens, and sponsored-session branding. Airtime your sponsors can screenshot for their own reporting.

Capture for after

Every session recorded, so the conference becomes a content library instead of a memory.

Staging AV

Screens, projection, and lighting support sized to the room, with playback and switching for the main stage.

Operated broadcast cameras on the main stage, PTZ systems in breakouts, all feeding a coordinated production.

Audio

Wireless mics, panel setups, and a Dante-certified engineer running the room mix and the broadcast mix as separate jobs.

Speaker systems

Confidence monitors, countdown timers, a deck-management station, and a backstage tech position.

Streaming and connectivity

Multi-room delivery to your event platform, YouTube, or a gated portal, each stream monitored, over dedicated bonded cellular with Starlink backup. Hotel internet shared with a thousand attendees is not a plan.

What moves the price

A conference scales with rooms, days, and crew, and the walk-through turns your agenda into a room-by-room quote with one price and no mystery line items. What moves the number:

  • Room count, and how many run simultaneously — each concurrent room is a crewed position, not just a kit.
  • Days, including load-in the day before when the venue allows it.
  • The hybrid plan: how many rooms stream, to which platforms, and whether access is gated.
  • Staging scope on the main stage: screens, lighting support, and playback.
  • Speaker volume, which drives the deck-intake and backstage staffing.

+Can you handle the main stage and all our breakouts?

Yes, that's the core of this service. Standardized kits per breakout, a lead in every room, and one engineering plan across the program, so every session meets the same standard.

+How does hybrid actually work for remote attendees?

They get a produced feed: switched cameras, a dedicated audio mix, and slides composited to be readable on a laptop. We deliver to your event platform or a gated portal, and each stream is monitored live.

+Can you work with our event platform and registration system?

Almost certainly. We deliver to the major event platforms and anything that accepts RTMP or embeds a player. Name the platform on the first call and we'll confirm it.

+How do you handle speaker presentations?

Deck intake before the event, a testing station on site, confidence monitors, and a backstage tech who loads and checks every file. Last-minute USB sticks happen; we plan for them.

+What can we offer sponsors?

On-screen loops between sessions, logos on stream and stage screens, sponsored-session branding, and recorded sessions carrying their placement afterward. We'll build the package with you before you sell it.

+What if the venue internet can't handle streaming?

We assume it can't. Dedicated bonded cellular and backup encoders come with the production, and we survey connectivity at the walk-through.

+Do we get the session recordings?

All of them, every room, delivered in the formats you need. Edited session videos and highlight reels are an easy add-on that turns the conference into a year of content.

+What does a conference cost?
